JUPSP Submission and Editorial Workflow

Optimized for Open Journal Systems (OJS) | COPE & ICMJE Aligned

Step 1 – Manuscript Submission

  • Authors must register and submit manuscripts via the JUPSP OJS portal.
  • Required materials:
    • Manuscript formatted per latest Author Guidelines
    • Cover Letter
    • Completed Submission Checklist
    • Author Declaration Form
    • Signed Article Submission Agreement
  • All content must comply with ethical, authorship, and formatting standards from COPE, ICMJE, and JUPSP policies.
  • A confirmation email is auto-generated by OJS.

Step 2 – Initial Editorial Screening (Managing Editor)

Checks performed:

  • Completeness of submission files
  • Formatting, referencing, metadata validation (including ORCID, funder details, structured abstract)
  • Word count and adherence to journal scope
  • Plagiarism detection via integrated screening tools
  • IRB approvals, ethical statements, and authorship verification
  • Any violations flagged for revision or potential misconduct handling
  • Submissions not meeting standards are returned to authors for correction.

Step 3 – Section Editor Assignment

  • Eligible manuscripts are assigned to a Section or Associate Editor based on subject area and scope.
  • The editor evaluates thematic relevance and scholarly alignment with JUPSP’s mission.
  • Out-of-scope submissions may be rejected with transparent rationale.

Step 4 – Double-Blind Peer Review

  • Editors select 2 independent reviewers via OJS tools from internal database or external experts.
  • Review invitations specify timeline (21 days standard).
  • Reviewers submit structured evaluations using the JUPSP Reviewer Form.
  • Editors enforce double-blind anonymity and maintain confidentiality.
  • Reviewer performance (quality, timeliness) is routinely monitored.

Review Criteria:

  • Scientific validity
  • Ethical compliance
  • Originality
  • Methodological rigor
  • Clarity of presentation

Step 5 – Editorial Decision

  • Based on reviewer input and editorial judgment, manuscripts are:
    • Accepted without revisions
    • Returned for minor or major revision
    • Rejected (with or without resubmission invitation)
  • Editorial decisions are communicated via OJS within 2 weeks of review completion.
  • Authors receive:
    • Point-by-point reviewer feedback
    • Clearly annotated decision letters
    • Revision deadline (2–4 weeks standard)

Appeals:

  • Authors may submit a formal appeal via OJS with a documented rebuttal addressing rejection rationale.

Step 6 – Revision & Re-Review

  • Revised manuscripts undergo:
    • Editorial reassessment (minor revisions)
    • Reviewer re-evaluation (major revisions or ethical concerns)
  • Editors issue final decisions and ensure policy compliance before advancing.

Step 7 – Copyediting & Author Proofs

  • Production Editor conducts grammar, citation styling (AMA), consistency, and metadata corrections
  • Proofs sent via OJS for author review
  • Only minor, essential changes are permitted at this stage
  • Authors must respond within 3–5 business days

Step 8 – Publication & Indexing

  • Final articles are published in the next issue via OJS
  • Each article is assigned a DOI
  • Metadata uploaded includes ORCID, funder info, abstract, keywords
  • Articles are:
    • Indexed in citation platforms
    • Archived in open-access repositories
    • Licensed under CC BY 4.0
  • Promotion via journal website, social media, email alerts, and newsletters

Step 9 – Post-Publication Oversight

The editorial board handles:

  • Corrections, retractions, expressions of concern following COPE guidelines
  • Engagement metrics via OJS dashboard, Alt-metrics, and citation indexes
  • Reader and author feedback
